School Partner Terms & Conditions

These School Partner Terms and Conditions (“Terms”) apply to any independent school, school group, or authorised representative thereof (“you”, “your”, “the Partner”) that registers for, accesses, or participates in the services provided by School Scout Ltd (“School Scout”, “we”, “our”, “us”, or “the Platform”).

By registering as a School Partner and using any features or services offered by School Scout, you agree to comply with these Terms, in addition to any specific agreements covering advertising, paid features, or data sharing arrangements.

Certain premium or paid services offered by School Scout, including advertising, promotional placements, and subscription-based features, are governed by separate School Partner Advertising Terms and Conditions. If you purchase or access such services, those terms will apply in addition to these School Partner Terms. In the event of any conflict between these Terms and the School Partner Advertising Terms and Conditions, the latter shall take precedence with respect to the relevant paid services.


1. Services Provided

School Scout provides a platform designed to connect UK independent schools with prospective families. As a registered School Partner, you may access a range of services, including:

  • The ability to self-manage and optimise your school profile with enhanced media and content;
  • Receipt of direct enquiries from prospective families using the Platform for school research and comparison;
  • Access to termly School Scout ID (Insights & Data) reports providing anonymised behavioural insights and enquiry analytics;
  • Optional advertising, promotional, and visibility solutions (subject to a separate advertising agreement).

2. Responsibilities of Registered Schools

As a Registered School with access to manage your school's free School Scout profile, you agree to the following:

  • Maintain accurate and current profile information, including tuition fees and other information about the school;
  • Ensure timely and professional responses to all enquiries received via the Platform;
  • Use all data provided by School Scout, including parent contact details, solely for the purposes of admissions, marketing, or related communications relevant to your school;
  • Comply with applicable data protection legislation, including the UK GDPR and Data Protection Act 2018, when handling personal data received from the Platform;
  • Not misrepresent your school’s offering, academic performance, or admissions criteria in any content or communication presented on the Platform.

You acknowledge that upon receiving a parent enquiry through School Scout, your school becomes the data controller for that data, and assumes responsibility for handling it in compliance with relevant data protection laws.


3. Data and Analytics

As part of your participation in the Platform, you may be provided with access to the following data sets:

  • Direct enquiry data, including parent names, email addresses, phone numbers, and enquiry messages;
  • Behavioural insights, including aggregated and/or anonymised analytics on parent search activity, school profile visits, and usage of the School Scout AI assistant;
  • School Scout ID Reports, issued termly, offering deeper insight into platform activity and parent engagement metrics.

All data made available through School Scout is governed by our Privacy Policy and must be used exclusively for your internal marketing, admissions, or planning purposes. You may not share, sell, or otherwise distribute this data outside your organisation or use it for unrelated purposes.


4. Premium Features

School Scout offers optional premium services that may include:

  • Enhanced school profile design, layout, and branding;
  • School Scout ID behavioural reporting and analytics;
  • Custom enquiry forms for general enquiries and open days.

These premium features are offered under a separate School Partner Advertising Terms & Conditions and are subject to fees, billing cycles, and cancellation terms as outlined therein.


5. Suspension or Termination

5.1 Suspension by School Scout
We reserve the right to suspend or remove School Partner profiles and/or access to partner services without notice if:

  • School Partners breach any provision of these Terms;
  • School Partner content is found to be inaccurate, harmful, misleading, or otherwise in violation of applicable laws or platform standards;
  • Payments for paid features or subscriptions are overdue or declined.

5.2 Termination by Partner
School Partners may terminate their advertising subscription at the end of their billing cycle by providing a minimum of 30 days’ written notice prior to the renewal date. Cancellations will take effect at the end of the billing cycle following the expiry of the notice period. All fees are non-refundable, and no partial refunds will be issued for unused periods of a billing cycle.


6. Intellectual Property

All school-provided content uploaded to the Platform remains the intellectual property of the respective school. However, by uploading materials to School Scout, you grant us a non-exclusive, royalty-free, worldwide licence to:

  • Display your school’s name, logo, and promotional content on the School Scout platform;
  • Include school content in marketing campaigns, newsletters, case studies, and social media posts promoting School Scout and its services.

We will make reasonable efforts to adhere to your school’s branding guidelines and will not materially alter content without consent.


7. Limitation of Liability

To the fullest extent permitted by law:

  • School Scout shall not be liable for any loss of enquiries, registrations, admissions, or anticipated outcomes arising from the use or performance of the platform;
  • School Scout is not responsible for technical interruptions, delays, or service errors outside of our reasonable control;
  • School Scout's total liability for any claim shall be limited to the total fees paid by the School Partner to School Scout in the three (3) months preceding the event giving rise to the claim.

Nothing in these Terms limits liability for death, personal injury, or fraud caused by our negligence.


8. Governing Law

These Terms and any disputes or claims arising from them shall be governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction over any such matters.
